Occassionally, a negative balance arises in Accounts Payable (A/P), and business owners who take care of their own books don’t understand how the problem happened or what to do about it. Here’s the scoop:
A negative balance in A/P can sometimes mean that bills were entered, and checks were written against those bills, but the original bills somehow got deleted or voided. The bill-payment checks are left “hanging” in the system, creating a negative balance in A/P.
If you notice a negative balance in A/P, or even if you have certain vendors who show a negative balance in the Vendor list, go to the Reports menu and select Vendors & Payables. Then select the Unpaid Bills Detail report. Scan through the report and look for negative amounts. If you see any, double click on them.
After double clicking, a bill-payment check should open. Look at the lower half of the screen. Possibly, there will be no bill located here, no amount at all, nothing to indicate that this check was applied to a bill. If so, leave this window open, and go to the Vendors menu. Select Enter Bills. Enter a bill to the vendor you just saw on the last screen. Be sure to use the same amount you saw on the check. You will need to guess as to the correct due date – better yet, try to locate the original bill so you can get correct information off it. After entering it, click Save & New to leave the window open if you have more bills to enter, or Save & Close to close the window if you are finished.
After entering the bill, go back to the bill-payment check. Look at the lower half of the screen – the bill should be there. If it is, place a checkmark next to it, and enter the correct amount (the amount on the check) in the far right column. Click Save and Close. QuickBooks will ask if you are sure you want to save the transaction – click Yes.
Go to the Unpaid Bills Detail report and click Refresh. The bill-payment check, which caused the negative amount on this report, should now be gone. Follow these steps for all negative amounts you see on this report.
Important: notice that you did not repay the re-entered bills – you did not use the Pay Bills function. The original bill-payment checks were in the system, and we simply applied those checks to the re-entered bills. If you accidentally repay the re-entered bills, this will not solve the problem of having a negative balance in A/P.
If you see negative amounts that DO have bills applied against them, that is an issue beyond the scope of this article.

Wireless devices have exploded in popularity and most often, we forget what type of technology is actually being utilized. Granted, you can find the Bluetooth logo everywhere, but do you know how beneficial Bluetooth is, or even why? Let us take a look at the top ten benefits of Bluetooth.
One: Wireless…need I say more. Going wireless alone can have many of its own benefits, mostly, freedom from wires. No more having wires interfere with your work, accidentally being pulled off your head, or tripping someone. No more having to worry about bringing the connection wires when traveling. I always found it a pain, digging in my briefcase, only to realize, I forgot the connection wire to my headphones…bummer.

All-in-one computers are just like desktop computers only they are more compact. Instead of having three components: the monitor, CPU and the input devices, a mini computer only has two or one because the CPU is already inside the monitor’s case, or within the keyboard.
These kinds of computing devices are easy to move around and take up less space than conventional computers. They are generally more portable than conventional desktop PCs and most of them even have a special carrying case included in the package or are built into the unit itself. Wiring and physical installation is also easier because you only have to connect the keyboard to the unit and plug it into a power source.
The biggest advantage that all-in-one computers have over conventional PCs is the size. They can fit in areas that don’t really have much space. If you want to save up on desk space in your office, getting a compact computer will work better because it frees up the space where the system unit should have been.
Contrary to popular belief, individuals who use smaller computers are able to upgrade the memory and storage capacity of their unit, minimizing the need for external storage hardware.
More advanced users who need more computing power can easily use additional tools like external CD/DVD drives. They can also install different kinds of software to get more out of their mini PC. However, for a consumer who only needs basic stuff like word processing, filing, storage and Internet connectivity, a mini computer is an ideal option.

I’ve always enjoyed mobile computing or the ability to do computing tasks with my mobile devices anywhere. Mobile computing has given me the flexibility to multi-task and maximize my time. Unfortunately, it hasn’t always been a great experience.
Here are some of my good and bad observations in mobile computing.
- Being productive during down time. Obviously, being able to work virtually anywhere is the best benefit of the mobile computing. There are times when you want to do some work when you have some down time, like when you’re waiting for your flight, waiting for someone in a restaurant, and other waiting activities.
- Being able to work when you least expect it. There are times when you suddenly need to do some report, respond to an important email, or send a file asap. During these times, it’s reassuring to know that you can just power on your mobile device and start working! Globalization has made working with co-workers from other countries and different timezones a necessity. As a result, your working hours is oftentimes disregarded by your foreign counterparts.
- Being able to play my multimedia collection anywhere. All work and no play can may you a dull person.
- Rest time is no longer rest time. Although we can do some tasks on our computers during our rest time or down time, it also takes away actual time for rest. Our minds and bodies need time to calm down and recharge, too.
- Work-Life Imbalance can happen. This is another sad consequence of mobile computing. Because we can do our work anywhere, we tend to work at home. When we do work from home, or when we bring home our work, we eat up time we can spend for our family, or for personal time. This imbalance often results in workaholism.
- We become connected 24/7. As cool as it may sound, being connected 24/7 is not healthy. Being connected all the time can keep you up all night resulting in lack of sleep. Lack of sleep has been proven to cause a lot of sickness. Another ill effect of being connected 24/7 is the one mentioned in the previous bullet point: work-life imbalance.
There are more good and bad observations about you may think of about mobile computing. The negative aspect of it can be fixed by setting your priorities straight and developing self-discipline. And, like most things in life, moderation is key.
